The Southern California Volleyball Association coordinates competitive volleyball across a multi-year season with two distinct registration paths: athletes registering directly through the association, and athletes registering through participating clubs whose own administrative workflows had to be supported alongside the association's. Combined annual registration volume reached approximately 25,000 across both paths.
Off-the-shelf registration platforms handled one path or the other reasonably well, but not both — the association needed control over eligibility verification, payment, and roster reconciliation across the entire ecosystem, including the club-managed workflows where the association was not the direct registrant of record.
A custom registration system was built to support both the association-direct path and the club-managed path under a single roster of record. The system handled:
- Player registration, eligibility, and verification
- Club affiliation and roster management
- Payment processing across both paths
- Cross-path reconciliation so the association maintained a complete view of all registered athletes
- Season-over-season continuity for returning players
The system operated continuously across multiple competitive seasons, supporting the association's administrative operations through the registration cycle each year.
Before: registration data split across two paths with no unified roster of record, requiring manual reconciliation across club submissions and direct registrations. After: a single system of record covering both paths, with the association in control of the canonical roster across the full ~25,000-registration annual volume.
The original implementation used a custom web application and database backend. The version on scva.scvdata.com is a reconstruction using sample data, demonstrating the registration flow and dual-path roster model without depending on the original production system.
